We are looking for a highly experienced and professional Senior Front Desk Officer to manage front desk and client coordination. This role falls under the Sales Department and requires strong customer handling, cash management, and coordination skills to ensure smooth client flow and revenue operations.

Key Responsibilities

  • Manage overall front desk operations in a professional and organized manner.
  • Welcome and assist clients, ensuring a premium customer experience.
  • Schedule appointments and manage daily consultation flow efficiently.
  • Coordinate closely with doctors, counselors, and the sales team to maximize conversions.
  • Handle billing, invoicing, and daily cash transactions accurately.
  • Maintain proper cash records and submit daily financial reports to the accounts department.
  • Manage online payments, and payment reconciliation.
  • Maintain and update client databases and records.
  • Follow up with clients for appointments, payments, and retention activities.
  • Address and resolve client complaints professionally and promptly.
  • Supervise and guide junior front desk staff (if applicable).
  • Prepare daily, weekly, and monthly sales-related reports.
  • Support marketing campaigns by managing client inquiries and walk-ins.
  • Ensure proper documentation and record maintenance.
  • Maintain confidentiality of financial and client information.
  • Ensure front desk presentation and discipline standards are maintained.
  • Monitor reception supplies and coordinate with admin for replenishment.
  • Handle peak-hour operations efficiently and maintain workflow discipline.
  • Ensure compliance with company policies and SOPs.
  • Perform any other duties assigned by management.

Eligibility Criteria

  • Bachelor’s degree in Management, Business Administration, or related field.
  • Minimum 5 to 6 years of experience in front desk, sales coordination, or customer service role (healthcare/aesthetic clinic preferred).
  • Strong cash handling and billing experience is mandatory.
  • Excellent communication and interpersonal skills.
  • Good knowledge of MS Office, billing systems, and CRM software.
  • Strong organizational and multitasking ability.
  • Professional personality with leadership capability.
